The following information may provide answers to any frequently asked questions or queries prior to visiting. If you cannot find information relating to specific query, please do get in touch and will get back to you as soon as possible.
If you haven't already, you will shortly receive the following secure emails:
1) A self referral form (completion necessary for all new clients)
2) Terms and Conditions (a signed copy must be returned by email)
3) If you are a privately insured client, you will need receive an insurance form. You will also be asked to preauthorise a payment card for any services that are unpaid by your insurance provider.
4) If you are self-funding and have not already paid, you will receive an invoice which requires payment prior to attending the appointment.
If you have not received any of these forms, please ensure you check your email spam folder as these forms are sent electronically. If you require any support please contact us.
A £20 administration fee is payable to the clinic when appointments are cancelled with less than 48 hours notice. The full session fee is payable when cancellation is given with less than 24 hours notice. Due to high demand, unfortunately it is not often possible to accommodate requests to reschedule.
We are based in the heart of Sutton Coldfield, at the beautiful Grade 2 listed building - The Moat House - directly opposite Sutton Coldfield Police Station. We are immediately left of Sutton Coldfield College Campus. We share a building with The Urban Village Group. This organisation is signposted to the right of the front door. To the left of the door is an intercom system. Please ring this to enter.
Our facilities offer calming, comfortable and neutrally decorated consultation rooms in addition to a large sized suite if you are attending a therapy group or training session. Upon arrival, you will be warmly greeted by our reception staff and can wait comfortably for your scheduled appointment.
Accessibility: Regrettably our clinic rooms are based on the first floor and the building does not have lift access. The staircase has shallow stairs with a handrail on the right hand side (when ascending). If you are unable to access our clinic rooms we would be pleased to discuss the option of remote video consultations with you. Please contact us as soon as possible if you foresee any accessibility difficulties.
Covid-19: In the event that the government still recommend wearing face masks, please respect our staff by wearing your mask at all times. Our rooms are thoroughly sanitised between clients and are suitably spacious to respect any social distancing measures that are in place at the time of your visit.
Writeupp: We use the clinically secure GDPR compliant video platform Writeupp. You do not need to download any programmes, and a link will be sent to you before your appointment is due to start to access the consultation. You do however need to ensure you have a compatible web browser. Microphone and Camera Access: Please ensure you have authorised microphone and camera accessibility on your web browser before joining the appointment by the link that will be sent to you.
Mobile: Please ensure you have your mobile phone to hand so our clinician can contact you if there are any connection problems.
Hands Free: Our consultations are often long and it may be uncomfortable to hold a screen for a long period. Consider a hands free device.
Big Screen: In our consultations we may share videos or forms with you. If you have a small screen it may be hard for you to engage fully with the content. Use a laptop, desktop or ipad if possible.
Good Connection: It can feel very frustrating if you experience technical issues. One of the most common reasons is a poor download speed. Please ensure you have a good download speed. It sometimes can be useful to limit other members of your household from streaming during your appointment if this slows your connection. Online Etiquette: Our clinicians appreciate if you can place your camera in a position to capture your entire upper body where possible.
Privacy: Our clinicians will be in a confidential and quiet space. We would appreciate if you could ensure the same. Consultations must not be recorded without prior consent and no third party persons should be present without informing our clinicians first.
The Moat House is easy to access by public transport including train (nearest station by foot is Sutton Coldfield), bus, or car. There is a bus stop directly outside of the building served by the 6, X3 and X5 buses. Local parking (up to one hour) is available directly opposite the building. Alternatively there is an affordable council pay and display car park behind The Townhouse (approximately a 100 metre walk) accessible from Anchorage Road. Please note that on site parking is for staff only unless you are a disabled badge holder. If so, please ring the buzzer for the barrier to be lifted. A valid permit must be displayed at all times.
